How Far Ahead You Should Be Planning Your Luxury Europe Trip

The question I get most from clients planning a European trip is some version of "is it too early to start?" The answer is almost always no, and for the properties and experiences I tend to book for clients, earlier is usually better than you'd think.

Peak Season Books Out Fast

If you're traveling June through September, especially to Italy, the French Riviera, or the Greek islands, the small luxury hotels and villas I recommend often have limited inventory to begin with. The best rooms at well-regarded properties can be gone nine to twelve months out, and private guides in cities like Florence or Rome get booked even earlier by other advisors and tour operators who know the same thing. If your heart is set on a specific hotel or a specific guide, that's the piece to lock in first.

Shoulder Season Gives You More Room

April, May, and October are different. You still want to plan ahead, but six to nine months out is usually plenty of runway for most properties, even the well-known ones. This is also where I tend to steer clients who want the same destinations without the peak-season crowds or prices.

River Cruises Are Their Own Category

If a river cruise is part of the trip, that timeline moves even earlier. The best cabins on lines sailing the Rhine, the Danube, or through France tend to sell out twelve to eighteen months ahead, particularly for sailings during European holidays or harvest season. If a river cruise is anywhere in your plans, that's usually the first thing we book, before anything else gets built around it.

Multi-Generational Trips Need More Lead Time, Not Less

When you're coordinating a trip across grandparents, adult children, and grandchildren, the constraint usually isn't the destination, it's everyone's calendar. School schedules, work obligations, and other family commitments mean the planning conversation needs to start earlier just to find dates that work for the whole group, separate from when the hotel or cruise line needs a deposit.

How I Actually Build the Timeline

I start with whatever has the least flexibility, usually a marquee hotel, a river cruise, or a private guide, and lock that in first. Flights and the rest of the itinerary get built around that anchor, not the other way around. That's also why coming to me four or five months before a peak-season trip doesn't mean it's impossible. It means we may have fewer options, and I'll tell you honestly when that's the case.

Starting Your Own Trip

If you have a window in mind for a European trip, the best first step is telling me your dates and who's coming. I'll map out what's still realistically available and what we need to move on quickly. Start here and I'll follow up to schedule a call.
